Administrative Coordinator, Advancement - 501316SUMMARY: Provides administrative, record keeping, budget, logistical, and programmatic support for the ongoing efforts of Donor Relations and Parent Giving in stewarding and engaging donors. Plays an essential role in creating first impressions for a wide variety of university donors and constituents, including high-level donors and University leaders. Participates as an active member of the Donor Relations and Parent Giving teams, supporting a robust calendar of communications, events, and donor relations activities. Plays a critical role in delivering efficient processes that bring value to UR's advancement community. The position will report directly to the Director of Donor Relations. RESPONSIBILITIES Project and Events Coordination

  • Coordinates special projects to support meaningful donor engagement and stewardship activities, including meetings, events, and communications.
  • Coordinates logistics for meetings and events, including venues, catering, tracking expenses, agenda management, and communications.
  • Communicates and collaborates with various constituencies including University leaders, donors, alumni, campus partners and the UR community via phone, email or in person.
  • Helps prepare event collateral and necessary meeting materials.Administrative
    • Supports the administrative activities and manage the calendar of events and communications for Donor Relations and Parent Giving.
    • Coordinates and participates in internal meetings as needed.
    • Handles general donor inquiries via phone and email to ensure that donor concerns are anticipated and addressed.
    • Monitors p-card transactions and invoices, processing and submitting necessary documentation.QUALIFICATIONS:
      • Exercise initiative and good judgement, practice confidentiality and discretion in communication with colleagues and constituents as well as maintenance of confidential files and records.
      • Strong written and verbal communication skills.
      • Excellent attention to detail, accuracy, and quality in work produced, with a commitment to meeting project deadlines.
      • Ability to work independently and as a member of multiple teams, while thriving in a collaborative and innovative environment.
      • Must have a proven track record with collaboration, project coordination, time management, and organization.
      • Ability to problem solve and adapt to rapidly changing situations, successfully coordinate projects from start to finish, prioritize work, and respond effectively to change and constructive feedback.
      • Proficiency in Microsoft Office
      • Experience working in a cloud-based project management system, such as Asana or Monday, as well as a CRM or other relational database such as Raisers Edge, Blackbaud CRM, and/or Advance preferredEDUCATION & EXPERIENCE:
        • High school diploma or GED required; bachelor's degree preferred
        • Minimum two to four years of experience that is directly related to the duties and responsibilities specified
        • Experience working in higher education or nonprofit development, and/or working with students, donors, and volunteers preferredWORK HOURS:
          • Full-time, non-exempt position
          • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
          • Position requires some nights and weekends for Donor Relations and Advancement-related events with some potential for travel.SALARY STRUCTURE: Pay Grade 4 (Hiring Range $17.18 to $21.48 per hour)ABOUT UR:At the University of Richmond, we're creative, inclusive, and determined.
