Secours!****PRIMARY FUNCTION/GENERAL PURPOSE OF POSITION:**Under
minimal supervision provides secretarial, clerical, and
administrative support services in the daily operations of the
department. Assists with department workflow. Answers telephone
calls and provides assistance and guidance, to visitors,
patients/families, employees, and other departments as necessary.
Must be able to handle a fast-paced environment, prioritize, and
provide excellent customer service at all times in a sensitive and
confidential manner.**EMPLOYMENT QUALIFICATIONS:**Work requires
skills related to proofing and editing reports, correspondence,
minutes and the like for accuracy, sentence structure and
readability as well as drafting correspondence and reports, and
developing and overseeing the maintenance of record keeping and
filing systems at a level normally acquired through completion of
one year of business school. Five or more years of progressively
more responsible secretarial or administrative work experience.
Proficiency in various computer programs to include Microsoft Word,
Excel, PowerPoint, and spreadsheets, etc. Previous work experience
required in an administrative/secretarial capacity that required
the handling of administrative details such as preparing reports by
combining confidential data from several sources; communicating
with a diverse group of internal and external customers, patients,
and visitors; arranging meetings and conferences; formatting and
typing complex tables, forms and reports; and developing routine
responses to a variety of correspondences. Must be able to handle a
fast-paced environment in a confident, professional manner. Must be
a self-motivator, possessing a high level of judgment skills and
initiative, along with ability to prioritize and coordinate several
tasks simultaneously, while retaining a confident, knowledgeable,
and helpful demeanor. Ability to listen compassionately,
demonstrating effective problem solving and critical thinking
techniques, to areas of concern to visitors and employees without
appearing judgmental are essential aspects of this
position.**ESSENTIAL JOB FUNCTIONS:**_____1. Performs a wide
variety of duties such as gathering and entering data, preparing
forms, tables, charts, records, statistical tables, and
schedules._____2. Review reports prepared by others to ensure
proper format, typographical accuracy, adherence to procedures, and
that all necessary background information is attached. Submits
materials for review. Proofreads and edits final copy materials for
accuracy, consistency, and clarity._____3. Assists with scheduling
of patients._____4. Receives and screens visitors and telephone
calls, ascertains callers' needs and tactfully refers caller to
appropriate personnel. Responds to inquiries and refers complex
and/or sensitive inquires to appropriate person(s). Develops a
knowledge base of relevant internal departments throughout the
market, as well as community partners in order to address incoming
calls._____5. Serves as secretary for a variety of departmental
meetings, including staff meetings; records minutes of meetings and
distributes/mails minutes and agenda._____6. Establishes,
maintains, and revises record keeping systems, including patient
records, subpoenas, and departmental manuals. Distributes
information to include forensic reports and photos based on record
release policies. Handles significant volume of confidential data.
Follows current HIPAA standards_____7. Performs related general
office duties such as monitoring, ordering and stocking department
supplies, and contacting service representatives to maintain
department equipment._____8. Works with billing department and
funding sources to ensure the integrity of the billing of patients.
Responsible for troubleshooting with Manager of Forensic Nursing
regarding patient status concerns of billing._____9. Performs other
