Job Description:
Description The Safety Support Specialist offers essential
administrative and operational support to the Campus Police
Department, actively contributing to a secure campus environment.
This role involves managing critical administrative tasks,
including campus patrols and performing the completion of proper
security measures. Providing vital support through the assistance
of effective communications and workflow is a necessary facet of
the position. This position plays an essential role in the Campus
Police Department. It requires a proactive approach to
administrative support and dedication to fostering a safe,
supportive campus environment. RESPONSIBILITIES: Office
Administration and Support Perform a range of office tasks,
including word processing, typing, filing, report preparation, and
data entry. Provide direct administrative support to the Police
Chief, assisting with special projects, reports, and meeting
coordination. Coordinate office workflow, prioritizing tasks and
overseeing daily operations to ensure efficiency. Manage
departmental calendars, schedule meetings, organize travel
arrangements, and coordinate events. Triage and screen incoming
calls and respond to questions regarding policies, procedures, and
departmental activities. Support department-led events, including
campus events, new student orientation, “Blue Light” community
connection events, and other community activities. Greet and assist
visitors, students, and staff, answering inquiries and directing
individuals to appropriate resources. Record Maintenance, Financial
Support, and Confidential Information Management Organize and
maintain complex, confidential filing systems and databases,
ensuring compliance with record-keeping policies. Receive and
record communications regarding parking and assist with processing,
documenting, and distributing materials and communications related
to parking as requested. Maintain office supply inventory and place
orders as needed to ensure continuity of operations. Ensure strict
confidentiality concerning student information, departmental
records, and sensitive communications. Law Enforcement and
Emergency Support Accept reporting of criminal activity and/or
disturbances from students and employees and inform the appropriate
parties accordingly. Monitor and provide authorized access to
campus facilities. Support the collection of data for Clery
Compliance. Provide logistical support to department officers,
coordinate with other campus partners, and facilitate operations
during emergencies and special events. Other Responsibilities
Attend all mandatory staff meetings and trainings. Follow all
College policies and procedures. Perform additional administrative
and security duties as assigned to support the department’s mission
EDUCATION AND EXPERIENCE: High School Diploma or equivalent
required 1-3 years of related experience preferred SKILLS AND
ABILITIES: Experience in financial record-keeping, budgeting, and
office supply management preferred. Knowledge of Clery compliance
regulations preferred. Familiarity with police and safety software
programs (Omnigo) preferred Proficiency in office software and
equipment (MS Office Suite: Word, Excel, PowerPoint, Outlook),
database, copier/scanning, faxing, filing, etc.) required. Ability
to work independently in a secure environment, stationed during the
business work period with minimum supervision required. Strong
organizational skills with the ability to manage multiple tasks and
prioritize effectively required. Maintain a high degree of
discretion in handling confidential information required.
Communicating clearly and concisely with all levels of college
executive leadership, faculty, staff, students, and the general
public, both in writing and verbally required. Enters various data
into the computer system concerning parking decals, types of
correspondence, memos, and other documents as requested; makes
copies and distributes documents as requested required. Ability to
utilize mathematical formulas, add and subtract totals, multiply
and divide, determine percentages and decimals, and determine time
and weight required. Excellent written and verbal communication
skills, with a customer-oriented mindset required. Strong
analytical and problem-solving skills required. Must adapt to
performing under stress when confronted with an emergency required.
Excellent customer service required. CPR Certification or Ability
to Acquire required. AED Certification or Ability to Acquire
required. Possess a valid VA driver’s license and maintains a good
driving record required. Pay is offered at a competitive rate. This
